  • 1.  Collaboration sites for AAPS Working groups

    In the latest AAPS community leadership meeting, we learned from Stacey Axler regarding the new advancements for working groups within AAPS. As you are aware, file sharing, and collaborating on manuscripts are key to the operations of AAPS working groups. As of now, each working group chooses a suitable platform for these functions on a case-by-case basis. Stacey Axler outlined a couple of options that are aimed at harmonizing this activity  across all groups and make the process seamless. There were two options presented for consideration-

     

    Option 1 would involve a designated space within AAPS. This allows the option to build multiple digital "workspaces" within AAPS, representing each working group. Files can be uploaded and members within the working group will be notified of any activity via email (if that option was selected in their account). However, the files cannot be edited in place within the work space. Should there be an edit, or an update, files will need to be downloaded , edited and re-uploaded as the next version.

     

    Option 2 involves creating a Microsoft teams channel. Subchannels can be created for each working group. This platform allows file sharing, multiple folders, and editing files in place and in real time. Any concerns around Teams access were discussed as company policies may vary. It is also noted that Microsoft platform allows non-outlook email addresses to have Teams account and access, so there are several ways to mitigate this as well.

     

    We would love to hear the members' thoughts on these options for working groups. We look forward to making these improvements for the working groups.

    While I definitely prefer option 2 for collaborative work, I would like to point out that the FDA and people located in China do have issues accessing this platform. The former can use a personal email, but the latter has no workaround.

    I know it is possible to use MS team via internet browser. I am curious if FDA and people locate in China would still have problem when MS team is accessed through a web browser?

    I think I would also agree that Option 2 seems the most appealing in terms of quick communication and sharing ideas and topics. It would certainly make short questions easier to present to the group. However, it wouldn't allow for many discussions at once like distinct posts do on the AAPS website. I could certainly see the benefits of both here even though I would lean more toward Option 2.

    For collaborative work within working groups and in today's environment, I would prefer option 2 as Teams has broader adoption, application, utility, and continuously updated functionality.  The ability to work on the same document really should be a must.  Teams would also allow centralized and more efficient communication within that subchannel.
